QuickBooks Payroll Canada: A Complete Guide to Managing Your Employee Payroll

What is QuickBooks Payroll?

QuickBooks Payroll Canada is a payroll management software designed to simplify employee-related tasks. It specifically allows for payroll calculation, processing direct deposits, and managing certain tax obligations.

The solution is offered by Intuit, the company behind QuickBooks. It primarily targets Canadian small and medium-sized enterprises (SMEs) that want to automate their payroll process.

Unlike full accounting software, QuickBooks Payroll focuses on managing employees and salary payments. However, it can be combined with QuickBooks Online to bring several administrative functions together in one place.

How does QuickBooks Payroll work?

QuickBooks Payroll automates several steps of the payroll cycle. The goal is to allow businesses to spend less time on repetitive administrative tasks.

Automate payroll payments

QuickBooks Payroll allows you to set up payroll schedules and frequencies according to the business’s needs. Once the parameters are established, the process can be automated to simplify payments to employees.

This automation helps businesses better organize their administration and adhere to their payment schedules.

Manage direct deposits

With direct deposit, employees can receive their wages electronically. This method avoids manual payments and facilitates cash flow management.

Depending on the chosen plan, QuickBooks Payroll offers different speed options for payroll deposits.

Track hours worked

Tracking hours worked makes it easier to account for time spent on different projects or tasks.

This feature can be particularly useful for businesses whose employees are paid based on hours worked, such as in the construction, professional services, or restaurant sectors.

QuickBooks Payroll Canada Features

QuickBooks Payroll offers three plans with different levels of functionality. Businesses can choose an option tailored to their size and needs.

Thus, the Core Payroll plan is suitable for businesses looking for a simple solution to automate their payroll. The Premium and Elite plans add more tools for time tracking, collaboration, and employee management.

QuickBooks Payroll Canada Pricing

The price of QuickBooks Payroll Canada depends on the chosen plan and the number of employees to be managed. The three plans are offered as monthly subscriptions.

QuickBooks also offers a 30-day free trial to allow businesses to test the solution before subscribing. Promotions are also offered occasionally, such as a discount on the first few months of the subscription, subject to the terms and conditions in effect on the QuickBooks website.

QuickBooks Payroll with or without QuickBooks Online

QuickBooks Payroll Canada can be used in two ways: as a standalone payroll management solution or as an add-on module to QuickBooks Online. The choice depends primarily on your business’s administrative needs.

A business already using QuickBooks Online can add QuickBooks Payroll to consolidate its accounting, payroll, and time tracking in one place.

However, QuickBooks Payroll does not necessarily require a subscription to QuickBooks Online. A business using another accounting software or that already has an accounting system can also use QuickBooks Payroll to manage its employees.

Using both solutions together can, however, simplify several daily tasks. For example, data related to employees, payroll expenses, and administrative obligations can be grouped within the same environment.

Advantages and Limitations of QuickBooks Payroll Canada

Like any payroll software, QuickBooks Payroll has advantages and certain limitations. The important thing is to determine if its features match your business’s needs.

Advantages of QuickBooks Payroll

The main advantage of QuickBooks Payroll is the automation of payroll-related tasks. Businesses can reduce the time spent on calculations, payments, and administrative obligations.

Furthermore, the preparation of year-end forms, such as T4s and RL-1s, simplifies tax procedures for employers.

The ability to give employees access to their digital pay stubs also represents a gain in efficiency. Employees can consult their documents without constant intervention from administration.

Finally, businesses already using QuickBooks Online can benefit from better integration between their accounting data and their payroll management.

Limitations of QuickBooks Payroll

While QuickBooks Payroll is suitable for many small and medium-sized enterprises, some elements should be evaluated before choosing a plan.

First, the monthly cost increases based on the number of employees. A business with a large team will therefore need to calculate the total cost of the subscription.

Second, certain advanced features are reserved for the Premium and Elite plans. Businesses with specific needs should check the included tools before subscribing.

Who is QuickBooks Payroll for?

QuickBooks Payroll Canada is primarily aimed at small and medium-sized enterprises that want to simplify their employee management.

The solution may be particularly suitable for:

With its various plans, QuickBooks Payroll can support businesses with simple or more advanced needs.

However, large organizations with complex processes or a very high number of employees might require a specialized solution better adapted to their structure.

Our Opinion on QuickBooks Payroll Canada

QuickBooks Payroll Canada is an attractive solution for businesses looking to automate their payroll management without adding multiple administrative tools.

Its main advantage is its flexibility. Businesses can use QuickBooks Payroll alone or integrate it with QuickBooks Online to further centralize their operations.

Furthermore, features such as direct deposits, T4 and RL-1 forms, and time tracking help simplify several important tasks for employers.

However, the choice of plan should be made according to the actual needs of the business. A small business with few employees might be satisfied with the basic plan, while a business with time tracking or project management needs might prefer a higher-tier plan.

Before choosing a payroll solution, it is also relevant to evaluate all the financial tools used by your business, including business credit cards that can help optimize certain expenses.
